Adding staff appointment availability

You can add appointment availability to staff members’ schedules in MINDBODY Express™. Choose the days and times you want to make the staff member available for any of the appointment service categories you’ve already assigned to them in your MINDBODY system.

Adding single-day availability:

  • From the schedule, tap the Add Availability button (1).
  • Make sure that the staff member whose name and picture show up at the top of the screen is the staff member whose schedule you want to edit. If not, just tap the current name and pick the right one in the menu (2). Note: If you try to select a staff member who is not available at the selected location, you will be asked to change the staff member or location.
  • Single-day availability will be selected automatically (3).
  • Fill in the details of the availability as follows (4), and tap Done after you make each selection to return to the main Add Availability screen:
    • Date: The system will automatically select the current day, but you can tap it and select a different day to add the availability, if you wish.
    • Start time: Tap this field, and then scroll to select the time you want the staff member’s availability to begin.
    • End time: Tap this field, and then scroll to select the time you want the staff member’s availability to end.
    • Available for: If you do not want the staff member to be available for all of the appointment service categories that he or she is assigned to perform, then tap this field and uncheck the applicable categories. Tap Done when you finish.
    • Location: If the staff member you’re adding availability for is assigned to multiple locations, tap this field to pick the correct location.
    • Public display: Choose how you want the availability to show up for consumers.
      • “Show to public” displays the available times and the staff member’s name.
      • “Hide from public” shows neither the available times nor the staff member’s name.
      • “Mask staff name” shows the available times, but does not tell clients which staff member they belong to.
  • When you finish filling in the details, tap Save in the top right corner to schedule the availability (5). You will receive a message letting you know whether or not the availability was successfully scheduled.

 

Adding multi-day availability:

  • From the schedule, tap the Add Availability button (1).
  • Make sure that the staff member whose name and picture show up at the top of the screen is the staff member whose schedule you want to edit. If not, just tap the current name and pick the right one in the menu (2). Note: If you try to select a staff member who is not available at the selected location, you will be asked to change the staff member or location.
  • Tap Multi-day (3).
  • Then, fill in the details of the availability as follows (4), and tap Done after you make each selection to return to the main Add Availability screen:
    • Start date: The system will automatically select the current day to begin the availability, but you can tap it and select a different day, if you wish.
    • End date: The system will select an end date one week after the start date, but you can tap this field and select any date you wish.
    • Days: Tap this field, then tap to select the days of the week when the staff member will be available during the date range you set above.
    • Start time: Tap this field, and then scroll to select the time you want the staff member’s availability to begin.
    • End time: Tap this field, and then scroll to select the time you want the staff member’s availability to end.
    • Available for: If you do not want the staff member to be available for all of the appointment service categories that he or she is assigned to perform, then tap this field and uncheck the applicable categories.
    • Location: If the staff member you’re adding availability for is assigned to multiple locations, tap this field to pick the correct location.
    • Public display: Choose how you want the availability to show up for consumers.

Staff permissions

  • Only staff members with the “Staff member availability” permission will be able to add availability to staff members’ schedules, including their own.
  • To add or remove this permission, log in to your MINDBODY site via computer.
  • Then, visit: Toolbox => Setup => Staff => Staff Permissions and open the Toolbox section. Or, if your site looks like the picture below, just hit the Home tab and choose Staff in the submenu. Choose the Tools button, and click on Staff Permissions. Expand the Manager Tools section.

 

  • Check or uncheck the box next to “Staff member availability,” and hit Update to save the change.

 

Things to know

Currently, you cannot delete availability from a staff member’s schedule in MINDBODY Express. To delete availability, you’ll need to log in to your site on a computer and go to the staff member’s Appointment Availability screen.
