Adding staff appointment unavailability

Adding unavailable times to staff members' schedules prevents clients from booking appointments during staff members' vacations or daily lunch breaks.

Adding single-day unavailability

  • From the schedule, tap the Add Unavailability button (1).
  • Make sure that the staff member whose name and picture show up at the top of the screen is the staff member whose schedule you want to edit. If not, just tap the current name and pick the right one in the menu (2).
  • Enter the reason that the staff member cannot work in the “Reason for the unavailability” field (3).
  • Single-day unavailability will be selected automatically (4).
  • Fill in the details of the availability as follows (5), and tap Done after you make each selection to return to the main Add Unavailability screen:
    • Date: The system will automatically select the current day, but you can tap it and select a different day to add the unavailability, if you wish.
    • Start time: Tap this field, and then scroll to select the time you want the staff member’s unavailability to begin.
    • End time: Tap this field, and then scroll to select the time you want the staff member’s unavailability to end.
    • Public display: Choose whether or not you want the unavailability to show up for consumers.
      • “Show to public” displays the unavailable times and the staff member’s name.
      • “Hide from public” shows neither the unavailable times nor the staff member’s name.
  • When you finish filling in the details, tap Save in the top right corner to schedule the unavailability (6). You will receive a message letting you know whether or not the unavailability was successfully scheduled.

  

  

Adding multi-day unavailability

  • From the schedule, tap the Add Unavailability button (1).
  • Make sure that the staff member whose name and picture show up at the top of the screen is the staff member whose schedule you want to edit. If not, just tap the current name and pick the right one in the menu (2).
  • Enter the reason that the staff member cannot work in the “Reason for the unavailability” screen (3).
  • Tap Multi-day (4). Then, fill in the details of the unavailability as follows (5), and tap Done after you make each selection to return to the main Add Unavailability screen:
    • Start date: The system will automatically select the current day to begin the availability, but you can tap it and select a different day, if you wish.
    • End date: The system will select an end date one week after the start date, but you can tap this field and select any date you wish.
    • Start time: Tap this field, and then scroll to select the time you want the staff member’s unavailability to begin.
    • End time: Tap this field, and then scroll to select the time you want the staff member’s unavailability to end.
    • Public display: Choose whether or not you want the unavailability to show up for consumers.
      • “Show to public” displays the unavailable times and the staff member’s name.
      • “Hide from public” shows neither the unavailable times nor the staff member’s name.
  • When you finish filling in the details, tap Save in the top right corner to schedule the unavailability (6). You will receive a message letting you know whether or not the unavailability was successfully scheduled.

  

  

Staff permissions

  • Only staff members with the “Staff member availability” permission will be able to add unavailability to staff members’ schedules, including their own.
  • To add or remove this permission, log in to your MINDBODY site via computer.
  • Then, visit: Toolbox => Setup => Staff => Staff Permissions and open the Toolbox section. Or, if your site looks like the picture below, just hit the Home tab and choose Staff in the submenu. Choose the Tools button, and click on Staff Permissions. Expand the Manager Tools section.

  • Check or uncheck the box next to “Staff member availability,” and hit Update to save the change.

 

Things to know

Currently, you cannot delete an unavailability from a staff member’s schedule in MINDBODY Express™. To delete an unavailability, you’ll need to log in to your site on a computer and go to the staff member’s Appointment Availability screen.
